Your day-to-day with us

  • Manage calendars, appointments, and meeting room bookings, as well as handling emails, mail, and phone calls.
  • Maintain and organize digital and physical filing systems and internal administrative workflows.
  • Manage office procurement: order supplies, track inventory, request quotes, and enter POs in the ERP system.
  • Support accounting tasks: issue customer invoices, monitor receivables, follow up on overdue payments, and assist with invoice verification.
  • Prepare Excel or other management reports and collaborate with Accounting/Procurement on financial processes.
  • Support HQ with international visitor meetings and team travel logistics (accommodation, transport, meals, events).
  • Provide broader admin/HR support: assist staff on projects,
  • welcome guests, help with onboarding/offboarding, and communicate HR policies and internal procedures locally.

Your background

  • Completed Secondary School studies (Abitur, Fachabitur, Mittlere Reife oder Hauptschulabschluss) at minimum.
  • Minimum 2-years of experience as Administrative Assistant or similar role.
  • Proficient in MS Office and common office software.
  • ERP Experience on the administrative, financial, purchasing areas (desirable).
  • Advanced English skills, spoken and written.
